How to create RAMS: step-by-step guide
A walkthrough of the free QR Safety RAMS Builder: create a RAMS, pick your activities and hazards, complete the emergency arrangements, and export a branded PDF or editable Word document.
The steps in writing
1. Start a new RAMS
Open the builder and choose New RAMS. If you have saved templates, you can start from one of those instead of a blank document. Everything is free and there is no account to create.
2. Enter the project and company details
On the Project step, add the project, package or title, the site address, the client, your company as contractor, and who is preparing the document. This is also where you set your company's primary colour, which is used on the exported documents.
3. Describe the work and the sequence
On the Works step, write the description of works and the sequence of works. You can type it, dictate it on a phone, or use Write with AI to produce a first draft from your description and then edit it. Where the work involves breaking ground, the builder prompts you to confirm permit-to-dig arrangements.
4. Select activities and hazards
On the Hazards step, activities are grouped by trade. Expand a trade, select the activities that apply, and use Select all or deselect as needed. Each activity brings in its hazards with the recommended controls from the QR Safety library. You can also ask the AI to suggest activities from your method statement — treat those suggestions as a starting point and add anything missing.
5. Review the controls and risk ratings
Each hazard shows who is at risk, the risk rating before controls, the controls, and the residual rating after controls. Read every control line and edit, remove or add lines so they describe how you will actually work. Add custom hazards for anything the library does not cover.
6. PPE, COSHH and manual handling
Choose the PPE for the job (the AI can pre-select it from your hazards and method statement for you to check). Add COSHH assessments by entering details yourself, attaching a safety data sheet, or letting the AI extract the key information from an uploaded sheet. Add manual handling assessments for loads that need them.
7. Complete the emergency arrangements
On the Emergency step, record your first aider, emergency procedures and the nearest A&E — the builder can look this up from the site location and include a map.
8. Review the completed document
The Review step summarises what is complete and what is still missing, and links straight back to any step that needs attention. You must acknowledge the disclaimer here: the document is a draft until a competent person has reviewed, adapted and approved it.
9. Export a PDF or Word document
Download the RAMS as a branded PDF, or as an editable Word (.docx) file if you want to make further changes in Word. The hazard section is laid out in landscape so the tables stay readable. You may be asked for an email address before downloading — that is optional and we do not email the document to you.
10. Save, duplicate or templatise for next time
From your list of RAMS you can duplicate a document for a similar job, or save it as a template so future RAMS start from your own wording. Reused documents always need reviewing and adapting for the new job, site and team.
Where your RAMS are stored
Your saved RAMS and templates are stored in the browser on the device you used. They are not synced to your other devices, they are not visible to anyone else using a different device, and they will be lost if you clear your browser data or use private browsing. Download a PDF or Word copy of anything you need to keep.
Some features do send information to our servers to work: the AI drafting tools send your brief, description or uploaded documents for processing, the nearest A&E lookup uses the site location, and we record anonymous usage statistics such as how many RAMS are created and which documents are downloaded. Document contents, job briefs and uploaded files are not included in those statistics. If you choose to give us your email address, that is optional and handled under our privacy policy.
Completed RAMS must be reviewed, adapted and approved by a competent person before use.
